Hours & Cut Off:

  • Our phone lines are open Monday through Friday from 10am-5pm for inquiries.
  • This is when we are open to receive phone-calls and emails about catering orders. Off-site delivery and pickup catering events under $1000 must be confirmed with no further changes by 10:00am the business day before the event; no changes are allowed within 96 hours for any orders above $1000; orders received after 10:00am for the following business day will not be approved.

On-Site Catering Event Payment Policy

  • 50% of the Quoted Grand Total (including exclusivity fee) is due to reserve and secure the event date. Complete remaining balance is due 14 days before the event date. On-Site Events will not be held unless full payment is received 14 days before the event date. If Applicable, on consumption overages are due on the event date. Exclusivity Fees are non-refundable and non-transferable.

On-Site Catering Event Cancellation Policy

  • Exclusivity fees are non-refundable and non-transferable, regardless of the cancellation date or for Any Reason. Guests may cancel their event until 60 days before the event date and receive a credit for payments received (except exclusivity fees). Guests may cancel their event between 60 days and 30 days before the event date and receive a credit for any payments above 50% of the Quoted Grand Total (except exclusivity fees). Cancellations submitted less than 30 days before the event date are not refundable for Any Reason.
  • Any Reason may include extenuating circumstances, such as extended power outages, a national or state-wide pandemic or weather, fire or other incident. Cancellation requests must be received in writing via email at catering@coupacafe.com. An event is only officially canceled once the guest has received confirmation of the cancellation from Coupa Cafe Catering. Coupa Cafe Catering does not allow events to be postponed or rescheduled.

Off-Site Delivery & Pickup Catering Event Payment Policy

  • Catering Orders under $1000: Full Payment is due 10:00am on the business day before the event date.
  • Catering Orders over $1000: Full Payment is due 14 days before the event date.

Off-Site Delivery & Pickup Catering Event Cancellation Policy

  • Catering orders under $1000: Cancellations submitted between 10:00am-5:00pm the business day before the event date will incur a 50% cancellation charge for the order. Cancellations submitted after 5:00pm the business day before the event date or on the event date are not refundable for Any Reason.
  • Catering Orders over $1000: Cancellations submitted less than 14 days before the event date will incur a 50% cancellation charge for the order. Cancellations submitted less than 5 days before the event date are not refundable for Any Reason.
  • Any Reason may include extenuating circumstances, such as extended power outages, a national or state-wide pandemic or weather, fire or other incident. Cancellation requests must be received in writing via email at catering@coupacafe.com. Cancellation - Extenuating Circumstance

  • If we are unable to perform our responsibilities under the terms of this agreement due to circumstances beyond our control (extended power outages, a national or state-wide pandemic or weather, fire or other incident resulting in the closing of our kitchen during the time of your event), we will make reasonable efforts to reschedule the Event to a new date agreeable to you. Exclusivity Fees and prices may vary for the new event date depending on the season and day of the week. Events are not refundable for any reason.

Guest Count & Food + Beverage

  • An estimated guest count is provided when your event quote is approved to determine the quantity of food and beverage on the initial order. A guaranteed guest count is required 10 days prior to the event date to determine appropriate quantities for food and beverage. All menu changes, timelines, and final details need to be finalized 10 days prior to the event. You will be charged for all food and beverage that was quoted for your guaranteed guest count or your actual attendance, whichever is greatest. If an updated guest count is not received, the initially provided estimated guest count will be used on the final bill to determine that quantity of food and beverage that will be invoiced.

Delivery Timing

  • Orders will be delivered up to 30 minutes prior to the event start time. We cannot guarantee an exact arrival time, instead we will always provide a 30 minute arrival window.

Tips

  • All Tips are optional. We only accept tips with check or credit card payments. We do not accept cash tips. We do not force tips, gratuities or service charges of any kind.

20% Event Fee

  • A 20% Event Fee is added to all On-Site Catering Events and all Off-Site Delivery Catering Events. This fee helps cover overhead costs associated with the catering department like insurance, vehicles, technology fees, facility repairs, and other overhead expenses. The 20% Event Fee is not a gratuity or service charge.

Vehicle Fee & Minimums

  • A Vehicle Fee is added to delivery orders that are more than 2 miles away from our facility. Vehicle Fees help pay for company vehicle repairs, fuel, charging and other company vehicle expenses. The Vehicle Fee is not a gratuity or service charge. Order minimums increase depending on the distance from our facility.

Exclusivity Fee

  • We offer 3 areas for exclusive use at the Stanford Golf Course: The Patio, The Grass by the 18th Hole and the Indoor Clubhouse. Each area is priced separately for exclusive use. The Exclusivity Fee is not a gratuity or service charge.
  • Due to the structure of the building, the outdoor environment, parking lot and multiple entrances, it is not possible to guarantee that persons outside of your event could enter an exclusive use area during your event. It is your responsibility to promptly notify Coupa Cafe Catering if any persons outside of your guest list have entered the exclusive use area so we may ask them to leave.
  • All events must conclude at their scheduled time. If your event exceeds the quoted time, you will be billed by the hour at the beginning of each hour for any additional exclusivity fees. Exclusivity fees vary per day of week and time of day. If your event ends early, you will not be refunded any portion of the exclusivity fee.

Other Fees

  • Event Quotes, Orders and Invoices may include “Other Fees” such as bartender per hour, server per hour, live chef per hour, bar setup fee, buffet setup fee, cleanup fee, after hours fee, corkage fee, beverage station setup fee, custom table setup fee, cake cutting fee, and other fees. All such “Other Fees” are not a gratuity or service charge.

Acceptable Payments & Late Fees

  • All catering orders must be confirmed by holding a credit card number in advance. Any orders not held with a credit card are not confirmed. If paying by check, please make checks payable to “Coupa Cafe” and mail to: 538 Ramona St, Palo Alto, CA 94301.
  • A Late Fee of 1% per month will be added to any payments received after the event date.

Entertainment & Outside Vendors

  • No contract for entertainment should be entered into without the prior consent of Coupa Cafe Catering and upon such conditions as imposed. We may deny access to entertainment obtained in derogation of this prior-approval requirement. Outside food is not permitted for on-site events.

Security

  • Coupa Cafe Catering will not assume responsibility for damages or loss of any articles brought into the premises or property or for any item left unattended. You will conduct your event in an orderly manner. Excessive noise is not permitted on our premises. As the event organizer, you agree to pay for the repair or replacement costs of any property that is damaged by you or your guests.
